Retirement marks the end of someone's working life with an employer. In central government service it comes at the age of 60 on the last day of the month, which is why farewell functions cluster at month-ends and especially on 31 March. Private employers set their own age, usually 58 or 60, and voluntary retirement is taken earlier. There is no common date; it is the person's own last working day.

Most Indian retirements are not a decision. They are a date on a service record, set decades in advance. In central government service the age of superannuation is 60, and under Fundamental Rule 56(a) a person retires on the afternoon of the last day of the month in which they turn 60, with those born on the first of a month leaving on the afternoon of the last day of the preceding month. That is why farewell functions in government offices, banks, schools and PSUs fall on the last working day of a month, and why 31 March is the single busiest farewell day of the Indian year.

Knowing that changes the tone of the message. The person is not choosing to stop. They are being told when to.

What happens in the last month before retirement?

The last month before a retirement is mostly paperwork: handing over charge, no-dues and pension papers, with the farewell felicitation as only the visible part. It is usually more stressful than anyone admits at the function.

    Forty years of alarms and no reason for one. A message that lands on this morning is worth ten sent at the function.

The money side is slower than families expect. Gratuity under the Payment of Gratuity Act, 1972 is payable on superannuation after five years of continuous service, at fifteen days' wages for each completed year, and the employer is required to pay it within thirty days of it falling due. For anyone in the National Pension System, a government-sector subscriber's normal exit comes at superannuation, and at least 40 per cent of a corpus above ₹12 lakh must go into buying an annuity, while a balance of up to ₹8 lakh can be taken as a lump sum. Offering to sit with someone through a week of this paperwork is a better gift than a bouquet.

Writing to someone after thirty years

The failure mode is the empty compliment. "Thank you for your valuable contribution over the years" is what goes on the printed card, and it tells the person nothing about themselves.

Three things fix almost any retirement message.

Name one thing that is still standing. A process they designed, a room they fought for, a junior they trained who now runs a team. People who leave a workplace want evidence that the place is different because they were in it.

Address the person, not the post. Twenty years of being "sir" or "madam" ends on that Friday, and a message written to the human being rather than the designation is the one they keep.

Ask a question. Retirement messages arrive in a heap and none of them can be answered. One question, about the garden, the village house, the grandchildren or the book they kept saying they would read, gives them something to reply to and a conversation for next week.

What should you say in a retirement farewell speech?

A two-minute retirement farewell speech that works has three parts. One story about them, with a date and a place. One sentence about what they were like to work with on a bad day, not a good one. One good wish that is specific to them.

The office farewell follows a familiar shape: a shawl, a bouquet, a memento with the dates engraved, and speeches from four or five people. Most of those speeches are a recitation of the person's postings and promotions, which they already know.

Do

  • Name the work, with a date and a detail. "The 2014 audit" beats "your valuable service".
  • Message again on the first Monday after, when the office has moved on and they have not.
  • Ask about what comes next before assuming it is rest.
  • Include the family in the wish if you know them. They served the notice periods too.

Avoid

  • Don't joke about being old, idle or out of touch. It stops being funny at a farewell.
  • Don't say "enjoy your rest" to someone who did not want to stop.
  • Don't promise to visit unless you will. Retired colleagues notice who actually calls.
  • Don't make the speech about how the office will collapse without them. It puts your worry on their day.
